Retain Functional Overview
There are three big functions that are done with Retain:
- Get data into Retain
- Find data in Retain
- Get data out of Retain

Getting Data Into Retain
Modules
The main way to get data into Retain is through the module which connects to the email system. This will be gone into depth later on.
PST Importer
This allows you to import PST data into Retain. [1]
GW Archive Migration (PAM Tool)
The GroupWise Personal Archive Migration Tool or PAM Tool allows you to import GroupWise personal archives. [2]
Netmail and M+ to Retain Migration Utility
This allows your to migrate data from Netmail and M+ into Retain. [3]
Finding Data In Retain
From the Retain Web Console you can find data in two ways:
Browse
Browse shows you the entries in the database for the mailbox you are in.
Search
Search and Advanced Search show you the index entries that meet the search criteria.
When you open a message you are seeing what Retain has stored on disk.
Getting Data Out Of Retain
There are a number of Web Console options, that become available after you select one or more messages.
Forward
Lets you forward the selected message.
Restore
- Exchange: Restores messages to the Exchange Inbox.
- GroupWise: Restores a stub of the message to the Mailbox. Not recommended for users.
Export
Exports the message to PDF. This takes a short amount of time, can be saved from the "Exported Items" tab.
Delete
Removes the message from Retain, generally not something you want to give users rights to.
There are also external programs available that allow you to retrieve data from Retain.
Publisher
The Publisher is a workstation program that allows you to download messages to a database on the workstation. Search queries saved in the web console are available in Publisher as long as you are logged in as the same user. There are search options so it will download what you want.
Viewer
The Viewer is the database reader you can use to handle the local data. From here you can search, redact, print and export messages. Attachments are not available for redaction in Viewer.
PST
The Viewer allows you to export to PST if Outlook is installed.
The Viewer allows you to export to Adobe PDF Portfolio files, this currently requires Flash to view all messages.
Exchange Plugin
The Exchange Outlook Plugin allows Outlook to download data from Retain, from here you can save, print and export.
Deletion Management
From the Web Admin Console you can delete large amounts of date easily. You can delete items by date, entire mailboxes, and even entire post offices. For example, you can set Deletion Management to delete all message more than 10 years old and have that run weekly to remove messages regularly.
